Responsibilities of Faculty Senate Executive Committee Secretary

Executive Committee Meetings

  1. Take minutes
  2. Write up minutes and send draft to Faculty Senate President for review
  3. Set up e-mail distribution list for everyone in the Faculty Senate Executive Committee
  4. After approval, send out minutes to Faculty Senate Executive Committee members (via e-mail)
  5. Save e-mail
  6. Send hard copies to President, Vice-President, Instructional Deans, and the Library (two copies for the Library archives).
  7. Place hard copy in folder for record
  8. Put any handouts distributed during the meeting in folder

All Faculty Forums

  1. Take minutes
  2. Write up minutes and send draft to Faculty Senate President for review
  3. After approval, send out minutes to Judy Thom to be distributed to all faculty (via e-mail). At the top of the e-mail include short message telling Judy that the message should go out to all faculty.
  4. Save e-mail
  5. Send hard copies to President, Vice-President, Instructional Deans, and the Library (two copies for the Library archives).
  6. Place hard copy in folder for record
  7. Place handouts in folder
  8. Place board meeting minutes in folder (they are usually sent out via interoffice mail
